Customize Your Organization’s Operations in Detail
Welcome to the General Settings chapter of the Getting Started module of Fourvenues Academy.
Here, you’ll learn how to configure the key options that allow you to fully adapt your organization’s operations to your needs—from refunds and reservations to the use of the Fourvenues Access app.
Set the Foundations from the Settings Section
Access the Settings section from your main dashboard. Settings are organized into different tabs:
- Account
- Users & external sales channels
- Public Sales
- Finance
- Additional Services
- All-in-one Software
In this chapter, we’ll focus on the Account and Public Sales tabs. For the others, you can check the dedicated modules for Users & Permissions and Finance.
Account Settings
In this section, you can define configurations that affect the general operation of your organization and its events:
- Default minimum age: You can establish it here and modify it later for each event.
- Double email confirmation: Enable this option to reinforce validation during ticket purchases.
- Terms and conditions: You can upload your own, or if you don’t, the default Fourvenues terms will apply.
- Parental authorization: If your audience includes minors, upload the authorization document here. It will be applied automatically to all events, though you can edit it individually if needed.
Ticket Settings
From this tab, you can manage everything related to sale cancellations, refunds, and cancellation insurance:
- Sale cancellation: Allows users to cancel only their own purchases. You can define whether the cancellation window lasts until the end of the event or up to 30 minutes after the purchase.
- Past event refunds: Authorizes admin or manager-role users to refund tickets from events that have already taken place.
- Cancellation insurance: An optional add-on that customers can include during checkout. You can set a time limit and choose between a fixed or percentage fee.
Reservation Settings
Here you can adjust how reservations work in your business:
- Enable second reservation confirmation (via email or SMS)
- Notify the customer if their reservation changes status
- Receive an internal alert when an event reaches a certain occupancy percentage – for example, 80%
- Allow random assignment of spaces
- Enable any professional user to view available spaces
- Require full payment when creating the rate
- Define how pricing is calculated when exceeding the maximum number of people per rate:
- Per reservation (fixed)
- Per rate (accumulated)
Fourvenues Access Settings
The Fourvenues Access app allows you to manage tickets, lists, and passes from your phone. Here you can define its behavior:
- Distinguish gender when checking in lists (useful for later statistics)
- Display live stats inside Access: total checked-in vs. total sold
- Enable ticket refunds directly from the app
- Allow cash sales within the app
